A shipping box enquiry should explain more than its printed logo and outer appearance. The supplier needs to understand the contents, packing arrangement and expected journey. A fragile product shipped individually and several cartons moved together create different questions. Prepare a brief that describes the real handling conditions, then ask the packaging team to propose and confirm a suitable specification. Appearance can be considered alongside that practical requirement.
Describe the packed contents
List the products, their quantities within each shipper and the proposed orientation. Include individual product packaging, inserts, dividers and any other components. State the packed weight and identify items that need particular attention during the design discussion.
Measure the arrangement you intend to ship. Label whether your dimensions describe the contents, required internal space or the finished outer box. If storage racks, a receiving line or another system limits the outside dimensions, include that information as a separate requirement. Do not leave the supplier to infer the measurement basis from an unlabelled sketch.
Identify the construction clearly
A picture is useful, but ask for the proposed box construction to be identified in the quotation or drawing. FEFCO maintains a design code that gives corrugated packaging styles a common reference. Where that code is used, confirm the agreed style instead of relying on an informal box name. FEFCO's design code guidance.
A design code communicates construction; the rest of the specification still needs to describe the actual job. Discuss material, dimensions, assembly and printing requirements with the corrugated box team. Do not treat the construction reference as a guarantee of transport performance for every product or route.
Explain the intended distribution journey
Describe how the packed box will move: individual courier dispatch, consolidated transport, warehouse storage or another arrangement. Identify any handling concerns from your existing operation and share photographs or records of previous damage where available. These observations can help define the problem without pretending to prove its cause.
Ask what assessment or trial is appropriate for the proposed pack and contents. If your business or customer requires a particular performance criterion, put that requirement into the enquiry. The supplier should confirm the scope of any proposed check; an unspecified “strong box” claim is not a purchasing acceptance method.
Keep graphics and dispatch instructions practical
Provide the artwork, print coverage and versions needed for the box. Explain whether the print is primarily branding, identification or operational information. Review label placement, variant references and any instructions that must remain visible once the box is packed.
If separate product or dispatch labels are included, list them as distinct components with their own quantities and surfaces. Add delivery destinations and receiving requirements to the order brief. Multi-site delivery, split dispatch and packing services should be confirmed in the quotation rather than assumed to be included.
Shipping box enquiry checklist
- Contents, quantity per box and packed weight.
- Product arrangement, inserts and existing inner packs.
- Measurements with a stated unit and internal/external basis.
- Proposed construction reference and assembly requirements.
- Transport, storage and handling conditions to be discussed.
- Print artwork, versions and label placement.
- Any defined assessment, sample or acceptance requirement.
- Order quantity, required-use date and delivery locations.
Visually Art's minimum for printed and packaging items is 500 pieces. Ask the team to confirm the quantity basis for your specified sizes and versions. Sampling, production and dispatch timing are agreed for the actual scope.
Questions buyers ask
Is the thickest-looking box always the right choice?
Appearance alone does not define suitability. Describe the contents and distribution conditions, then ask the team to explain its proposed specification and the assessment needed for the job. Avoid replacing that review with a single visual comparison.
Can I copy the specification of a competitor's shipping box?
Use it as a reference and explain what interests you, but provide your own product and distribution details. A similar-looking box may have been specified for different contents or handling conditions.
Share the packed contents, dimensions and transport brief through the enquiry form. Include any existing sample and the specific problem you need the packaging to address.
