How to Prepare a Print and Packaging Quote Brief in Delhi NCR

A useful quotation begins with a clear brief. “We need premium boxes and brochures” explains the intention, but leaves the production team to guess the size, quantity, material and finishing. Those guesses make competing quotations difficult to compare. For a Delhi NCR business ordering several items together, one organised specification can save repeated questions and help the team identify what still needs a decision before costing.

Describe the item and its job

Give each item its own line: a product carton, shipping box, brochure or label. Explain how it will be used. A carton displayed on a shelf and an outer box travelling through a courier network need different discussions, even when they carry the same brand.

Include the product dimensions or a physical reference, and say whether the measurements describe the product, the usable inside space or the finished outside. Mark provisional measurements clearly. If the construction is undecided, ask for a recommendation rather than choosing a familiar material name without a reason. The custom packaging page outlines formats that can be discussed.

Break quantities into meaningful versions

Write the quantity for each size, artwork version and SKU. “2,000 cartons” could mean one design or several short batches. That difference matters when the work is specified. Add planned reorder needs separately; a forecast is useful context, but it is not an instruction to produce those quantities now.

Visually Art's minimum order for printed and packaging items is 500 pieces. Ask how the minimum applies to the proposed items and variants. Design, branding and artwork are scoped by agreed deliverables. A design brief and a physical production quantity should therefore appear as separate parts of the enquiry.

Explain the artwork and approval position

Attach the latest artwork and identify its status: reference only, being designed, ready for review or already approved. Share the intended finished size, required languages and any variable product information. Name the person who will consolidate comments and approve the final version.

Do not label an old sample “exactly the same” without identifying which details must match. A previous brochure might be a reference for paper feel while its layout and colour are changing. Explain those priorities. For print collateral, the printing specifications page provides a related starting point.

Put delivery requirements alongside production details

Give the destination area and postcode, the number of delivery points, and the date the material is needed for use. Distinguish an event date from the date it must arrive at your office. Mention site access, receiving hours and any packing or labelling instructions that affect handover.

A required date starts a feasibility discussion; it does not automatically confirm production or dispatch timing. Sampling, approvals, finishing and delivery arrangements should be confirmed in the quotation. Avoid committing your own launch schedule until the scope and approval responsibilities are understood.

A brief you can send to the production team

Use this checklist before requesting a price:

  • Item name, intended use and reference image or sample.
  • Dimensions, measurement basis and any fit requirements.
  • Quantity per size, SKU and artwork version.
  • Preferred material and finish, or a request for advice.
  • Artwork status, required design support and approval contact.
  • Required date, delivery postcode and number of destinations.
  • Any separate packing, assembly or sample requirements.

Keep unknowns visible. “Material to be recommended” is more useful than a precise specification copied from an unrelated product. Ask the quotation to record its assumptions, inclusions and exclusions so the next revision remains comparable.

Questions buyers ask

Can I request a quote before the artwork is ready?

Yes. Explain what is available and what still needs design or technical review. Initial costing may need assumptions. Ask which decisions must be settled before a final production quotation and proof can be approved.

When will Visually Art provide a quotation?

Visually Art provides a written quote within one working day after receiving the necessary specifications. A complete brief helps that review. Production, sampling and dispatch timing are confirmed separately for the agreed scope.

Send your item list and references through the enquiry form. Include the delivery area and the decisions you would like the team to help resolve.
