How to Brief a Rigid Gift Box: Dimensions, Inserts and Fit

A gift box can look right in a reference photograph and still be wrong for the products inside. A jar may sit too low, a bottle may move when the lid opens, or a card may cover the item it was meant to introduce. Start the brief with the contents and the required experience, then discuss the outer presentation.

For a Delhi NCR procurement team, a clear fit brief also makes internal approval easier. Purchasing, marketing and the person assembling the kits can review the same specification instead of interpreting different reference images.

Measure the complete contents

List every component that will go inside the box, including sleeves, protective wrapping, cards and accessories. Record the finished item's dimensions and weight rather than relying on a catalogue image. State whether dimensions are measurements of the product, the desired internal space or the outer box.

If there are several variants, identify the largest and smallest. A shared box may be worth discussing, but an insert that suits one bottle shape should not be assumed to suit every SKU. Provide actual samples where possible and agree which sample represents the production order.

Describe the opening and arrangement

Explain how the recipient should encounter the contents. Should a lid lift away, a hinged panel open, or a drawer slide out? These are quotation inputs, rather than a reason to choose a construction from a photograph alone.

A simple sketch showing the proposed arrangement is useful. Mark which face of each product should be visible, where a message card belongs and whether the recipient needs space to remove an item comfortably. Ask the supplier to confirm the workable construction and fit before the design is treated as final.

Discuss the rigid box manufacturing brief separately from any shopping bag, outer shipping carton or additional printed insert. A presentation box and its transport protection are different parts of the order.

Treat the insert as its own specification

Avoid the instruction “add a premium insert” without further detail. Ask what material and construction are proposed, how the products will be retained and what the assembled pack will look like. Include any surface-contact or appearance concerns for the supplier's review.

If the products are supplied by another vendor, agree who provides samples and who checks that the dimensions have not changed. Confirm whether assembly, component placement or only empty packaging is included. Those responsibilities affect the brief and should appear in the written scope.

A sample review should include taking the products out and putting them back, not just photographing a closed box. It should also consider the intended handling and dispatch method. No material choice alone establishes that the complete pack will protect its contents in transit.

Use a fit-and-approval checklist

Before approving production, check:

  • The product list, quantities and named variants match the order.
  • Internal and external dimensions are clearly distinguished.
  • The approved construction and opening direction are recorded.
  • Each item sits in its intended position and can be removed.
  • Insert, box, wrapping and printed card specifications are identified.
  • Artwork placement, finishes and visible joins have been reviewed.
  • Assembly and transport-packaging responsibilities are written down.
  • One person has authority to approve the complete sample and artwork.

Keep the approval record with the final files. If a component changes after approval, ask whether the fit must be reviewed again. A small change to a product or closure can affect a carefully arranged kit.

Connect presentation to the purchasing plan

Give quantities by box format and artwork version. Visually Art's minimum order for printed and packaging items is 500 pieces; the quotation must confirm how that applies to the specific formats and variants. Do not assume several different boxes can automatically be combined into one qualifying quantity.

For a wider kit, use the corporate gifting packaging page to describe the printed components and packaging scope. Production, sampling and dispatch dates are confirmed for the approved brief, so distinguish a required arrival date from a suggested production deadline.

Frequently asked questions

Can the final box size be decided from product photographs?

Photographs help explain the style, but a fit decision needs reliable dimensions and, where appropriate, representative samples. Ask the supplier to confirm the proposed internal space and construction before approval.

Does a rigid gift box include packing the gifts?

Not automatically. State whether you need empty boxes, inserts, printed components or an agreed assembly service. The quotation should identify what is included and who supplies each item.

Send Visually Art your rigid-box brief with the contents list, dimensions, quantities, finish references and delivery area. We provide a written quote within one working day once the specifications are complete.
